Cancellation Policy

​We understand that travel plans can sometimes change. If you need to cancel your journey, please notify The Soluna Experience in writing as soon as possible. Your cancellation will take effect from the date we receive your written request.

 

As our journeys are tailor-made and involve advance commitments with hotels, safari lodges, transport providers, guides and other local partners, cancellation charges will apply based on the costs already incurred and the amounts that are non-refundable or cannot be recovered from our suppliers.

The applicable cancellation charges may vary depending on the destination, travel dates and the booking terms of the individual suppliers included in your itinerary. Any recoverable amounts will be refunded after deducting applicable cancellation charges, supplier penalties, banking fees and any non-recoverable costs.

Certain bookings, including but not limited to scheduled flights, permits, park fees, special events, peak season reservations and promotional or non-refundable rates, may be subject to additional cancellation charges or may be entirely non-refundable. These conditions will be communicated to you at the time of booking where applicable.

Where possible, we will always work with our partners to minimise cancellation charges and recover the maximum refundable amount on your behalf.

We strongly recommend that all travellers purchase comprehensive travel insurance covering trip cancellation, interruption, medical emergencies, baggage loss and other unforeseen circumstances before the commencement of travel.

Standard Cancellation Policy 

  • Full refund offered upto 90 days before the trip

  • 60 - 90 days before - 50% cancellation fees

  • 45 - 60 days before - 75% cancellation fees

  • 0 - 45 days - 100% cancellation fees

  • A 5% non-refundable service charge applies upon cancellation

Changes & Rescheduling

 

If you wish to make changes to your confirmed itinerary, including travel dates, accommodation, destinations or other travel arrangements, please notify The Soluna Experience in writing as soon as possible.

As each journey is tailor-made and planned in collaboration with our local partners, all requested changes are subject to availability and the terms and conditions of the relevant suppliers. While we will make every reasonable effort to accommodate your request, changes cannot be guaranteed.

Rescheduling your journey may result in additional costs, including but not limited to airline change fees, accommodation rate differences, supplier amendment charges, permit fees and other expenses incurred as a result of the change. Any such costs will be communicated to you before the changes are confirmed.

Where suppliers permit, we will work closely with you to minimise amendment costs and preserve as much of your original itinerary as possible. However, certain bookings, including promotional rates, scheduled flights, permits, park fees and peak season reservations, may be non-transferable or non-amendable.

Once revised arrangements have been confirmed, the updated itinerary and applicable charges will form part of your booking agreement.

No-Show Policy:

 

If a client fails to show up for the experience without prior notice, it will be considered a no-show, resulting in no refund.

Force Majeure:

 

The Soluna Experience shall not be liable for any delay, alteration or failure to perform its obligations where such circumstances arise from events beyond our reasonable control ("Force Majeure"). These events may include, but are not limited to, natural disasters, severe weather, wildfires, floods, earthquakes, pandemics, epidemics, acts of government, war, civil unrest, terrorism, strikes, border closures, transportation disruptions, airline cancellations, or any other unforeseen event that affects the safe or practical operation of your journey.

In the event of a Force Majeure situation, we will work closely with you and our local partners to explore suitable alternatives, including amendments to your itinerary, changes to travel dates or available travel credits, where possible. However, all such arrangements will remain subject to the policies and availability of our suppliers.

Any additional costs arising as a result of a Force Majeure event, including but not limited to accommodation, transportation, meals, airline charges or supplier fees, shall be the responsibility of the traveller unless otherwise covered by the relevant supplier or your travel insurance.

We strongly recommend that all travellers obtain comprehensive travel insurance that includes cover for trip cancellation, interruption, delays, medical emergencies and other unforeseen events before the commencement of travel.

The Soluna Experience will always make every reasonable effort to minimise disruption and assist you throughout such circumstances, but cannot guarantee refunds, compensation or alternative arrangements where prevented by events beyond our reasonable control or where supplier policies restrict such remedies.
